#1 Does It Search MY Data or Just Google?
Most dealer AI products sit on top of a general language model. The vendor adds a login screen, a few prompts, and a dealership logo. The answer still comes from public web data.
Your GM does not need another Google summary.

You have received an opinion from software.
Every operational answer needs a source trail. For a CRM answer, demand customer records, lead dates, status history, and owner names. For a DMS answer, demand deal numbers, accounting periods, and matching totals. For a policy answer, demand the source document and page.
Run three tests during the demo:
- Ask a question with a known answer.
- Ask a question with incomplete data.
- Ask a question with no available answer.
A trustworthy product should show the source for the first response, explain the missing fields for the second, and decline the third.
Wrong answers create more work. Managers spend time checking the output, correcting reports, and explaining mistakes. Compliance, F&I, and customer communication raise the risk further.
Action: Reject any vendor unable to attach a source record or document to every factual answer.
#3 Does It Integrate With My DMS/CRM Today or “Coming Soon”?
“Coming soon” means you become the test store.
Ask for the exact status of each connection. DealerSocket, VinSolutions, Tekion, and CDK should receive separate answers. A vendor working with one system does not automatically work with another.
Integration also needs a definition. A nightly CSV export is different from live read access. Read access differs from write-back access. A browser extension scraping screen text differs from an approved API connection.
Get answers to five points:

- How often does data refresh?
- Does the product write activity back?
- What happens when an API fails?
- Which dealer uses the same integration today?
Then call the reference dealer. Ask the CRM manager, not the vendor’s chosen executive quote. Find out how long setup took, which fields failed, and how many support tickets opened during the first 60 days.
No live reference means no purchase order.
Action: Put every promised integration, field, refresh rate, and launch date into the contract.
#4 Who Owns My Data After I Cancel?
Data ownership becomes expensive when the relationship ends.
Your contract should state your dealership owns uploaded data, connected records, prompts, outputs, reports, configurations, and exported files. The vendor should receive limited permission to process those records while providing the service.
Watch for broad language covering “derived data,” “aggregated data,” “product improvement,” or “model training.” Those terms often give the vendor more rights than the sales presentation suggests.
Ask direct questions:
- Does customer data train a shared model?
- Does the vendor retain prompts or outputs?
- How long do backups remain after cancellation?
- Will the vendor provide a complete export?
- Who certifies deletion?
- Do subcontractors receive dealership data?
Get every answer in writing. An email from the salesperson does not replace contract language.
Include a deletion deadline, export format, breach-notification process, and list of subprocessors. Your counsel should review the terms before customer records enter the system.
Action: Require written ownership, export, retention, and deletion terms before sending one record.
#5 What Is the REAL Time Saved Per Week? Not Marketing
“Faster” has no value on a financial statement.
Demand one dealer saving 15 hours per week with proof. Proof means timestamps, workflow counts, staffing levels, and a before-and-after period.
Suppose a BDC completes 600 follow-up messages each week. Manual writing takes three minutes per message. AI drafting plus review takes one minute.
